There are basically two ways of how to share outlook calendar between team members, either according to who exactly do you wish to share it with. The first method is the method one for sharing your entire outlook calendar with individual team members. This can be done by right clicking on the clock in your main menu or taskbar and selecting ‘sheets’ or ‘mails’. You then choose a particular calendar in the drop down list. Right click on this and select ‘print’ to print the calendar out and your Outlook window should be filled with a new email.
However, when you try to share this calendar to a group of people, you need to grant them the permission to do so using the preferences or security settings in the Outlook application. For example, if you are planning to sync Outlook calendar on your Facebook page, you will have to click on the link or click on ‘use password’ and enter a password to enter your account and synchronise your calendar there. Then you can go ahead and check whether there are any of your team members who have already set up the same account as you have.
If you don’t want to use the outlook email address you have already set up, there is an alternative way of how to share the calendar and that is by setting it up as a Shared Access Object in Outlook. To do so, first download and install into your computer the Microsoft Outlook plug in called Microsoft Exchange ActiveSync. This is also free of charge, so do not worry about the cost. Once this is installed and running, you can then go ahead and click on the clock icon which is positioned at the bottom left corner of your screen and select the link that is marked ‘Share calendar’.
This will prompt you to enter the details required like the name of the person or team to whom you want to distribute the Outlook calendars. After doing so, you should click on the save button which is represented by the small circle next to the clock icon. Once you have done so, you will see that there are various options which are available. The number of calendars that you can create is again determined by the number of user permissions that you have set for Outlook. For each user, there is a specific permission level which has to be followed. This is to prevent others from tampering with the contents of these shared calendars.
You are now ready to start the process of publishing Outlook calendars to your e-mail readers. In order to start the process, click on the publish button which is located next to the account properties button. This will then prompt you to enter the details required like the title of the new calendar and the text which you would like to appear on it. The next step involves a simple step whereby you will have to click on the save button.
The following sub-steps provide instructions on how to proceed further on the matter of sharing Outlook calendar. The first sub-step provides information on how to enable the feature which allows you to sign in to the Microsoft Outlook Express by clicking on the gears in the bottom left corner of the main page. The second sub-step explains in detail the steps on how to publish the calendar by going to the home tab of Outlook Express. On the third step, you will have to click on the save button and enter the details required.
After doing so, you will find that Outlook Express has automatically populated the calendar data on the specified day for you and has also provided the URL of the URL which you may use to access the URL of the calendar on the internet. It is important to note that you can only view this URL which is configured on the Account tab of Outlook Express. This URL will allow you to see any changes made to the shared Microsoft Outlook calendar on any particular day. You can change this setting at any time by clicking on the Save tab, which is located on the Personal Settings section of Outlook Express.
The fourth and last step on the procedures on how to share Outlook calendar with others highlights the requirement to fill in a search box for the relevant information that you require. The search box is a search field where you can enter a precise phrase for which you would like to receive the invitation on Outlook. Once this is done, the Outlook Express will then proceed to sending out the Outlook email on the appropriate day which matches the search you entered. The fifth step on how to share Outlook calendar with others goes on to provide the option of downloading the calendar to your computer in ready-to-use formats. You are then given a choice of either saving the calendar as an image file or as a PDF document.
